- We act as a controller for data about our own users, workspace members, billing contacts, website visitors, and people who contact us directly.
- We generally act as a processor or service provider when customers use MailKatana to send email, store mailbox content, manage contacts, or receive inbound mail.
- If you are an email recipient or someone corresponding with a mailbox operated by a MailKatana customer, that customer is usually the party primarily responsible for the relevant data.
2. Data we collect
We may collect the following categories of personal data:
- Account and workspace data, such as names, email addresses, roles, authentication details, and workspace membership records.
- Billing and commercial data, such as plan, subscription, invoice, and payment-related metadata received from payment providers.
- Configuration data, such as domains, sender identities, mailboxes, aliases, forwarding rules, and mailbox settings.
- Customer content and service data, such as recipient addresses, contact profiles, event payloads, message bodies, attachments, mailbox content, headers, threads, delivery events, unsubscribes, suppressions, bounces, and complaints.
- Usage and security data, such as IP addresses, browser or device details, request logs, authentication events, diagnostics, and service performance information.
- Support data, such as the content of requests, attachments, screenshots, and correspondence you send us.

Because MailKatana is an email platform, customers may use the Services to process recipient data, campaign content, message bodies, attachments, and hosted mailbox content. We process that data to provide the Services and not for unrelated advertising use.
We may access limited customer content when necessary to respond to a support request, investigate delivery failures, handle abuse or complaint events, protect the platform, or comply with legal obligations. Customers remain responsible for deciding what data they send or store through the platform and for meeting their own notice, consent, and compliance obligations.

Where mailbox features are enabled, some message states may be subject to service-level retention behavior. For example, mailbox trash may be automatically deleted after 30 days in applicable configurations.
We use reasonable technical, administrative, and organizational measures designed to protect personal data, including access controls, encryption in transit, logging, monitoring, and backup and recovery practices. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
